Job overview
Care teams, billers and compliance staff all depend on finding the right document fast. As a Remote Document Management Specialist you will turn paper and faxed documents into organized digital records: scanning, classifying, indexing and filing them to the right patient chart, and checking quality.
No prior healthcare or document management experience is needed. Paid training covers document workflows, scanning and document management systems and HIPAA basics. Document types and scope depend on the team you join.
This opportunity may suit people searching for document management specialist jobs, remote document scanning jobs, work-from-home healthcare records jobs, or no experience healthcare jobs.
No Experience Required: We'll Train You
No prior healthcare or document management experience is required. Employers provide paid training on document workflows, indexing standards, scanning software, retention policies and HIPAA, and you learn the work step by step. Many specialists come from administrative, clerical, file management or data entry roles.
Structured Remote Work with Predictable Hours
Document management runs on incoming document queues and turnaround targets, usually weekday daytime, with no on-call and no in-person requirements. Both full-time and part-time positions are offered. Discuss your preferred schedule in your interview.
Administrative role, privacy first
This is an administrative records role. It does not involve clinical decisions. Document discrepancies and issues affecting patient records are escalated per the employer's protocol. You will handle names, contact details, medical record numbers and clinical data, so employers train you on HIPAA awareness and expect strict confidentiality.

- Scan paper documents and forms into the document management system
- Classify and index documents to the right patient, encounter or category
- File documents into the correct patient chart or folder
- Process incoming documents received by fax, mail or upload and outgoing documents for delivery or release
- Check scans for legibility and completeness and catch missing pages and misfiled documents
- Track documents through processing and storage
- Follow document retention policies and maintain document confidentiality and access controls
- Clean up old, duplicate or misfiled documents
- Work across document management, EHR and practice management systems
- Document activity accurately in the document management system
